Job Description
A new opportunity reporting into the Chief Data Officer has become available for a 12-month period. Based in the Melbourne city office when you’re not working from home, you will provide high level business administrative support to the Managers by understanding the businesses, supporting delivery of key deliverables, supporting the preparation of documentation for meetings, teleconferences and events including agendas, minute preparation and distribution.
How will I help?
Key Accountabilities Include
Assist with the collation, coordination of reports, and monthly Team meetings including pre-reading pack, agenda in an accurate and timely manner.
Provide a shared service arrangement of personal assistance to the Managers ensuring efficient ways of working and engaging, establishing an operating rhythm that meets Management and establish a brand presence with internal and external stakeholders.
Support the management of the Manager’s emails and diaries including coordinating meetings, functions and travel arrangements.
Act as a point of contact for the Manager’s offices for internal and external parties where appropriate, including prioritising and distributing emails, correspondence and mail.
Prepare presentations, written reports, spreadsheets, documents, quality assess reports and prepare ad-hoc reports as required.
The timely and accurate preparation of tactical administrative support activities:
all invoices, payments, requests, ensuring timely approval and recording of accounts and information
regular submission of the Manager’s corporate card reconciliations on a monthly basis
personal expense reimbursements for the business units
team events, including catering, venue bookings, location and preparation detail, where the Assistants require support

What do I need?
Previous and demonstrated experience in supporting a senior manager.
Advanced level Microsoft Word, PowerPoint, Outlook and intermediate level Microsoft Excel.
Demonstrable and successful experience in the administrative and supporting senior manager/s.
Professional presence, presentation and interpersonal skills, including the ability to build rapport and trust and work with, and across team environments.
Experience in utilising judgment, confidentiality and discretion at a senior support level .
Ability to use initiative and drive when managing multiple business support priorities .
Demonstrable attention to detail and follow-up to ensure accuracy and timeliness of work.
Ability to ‘think on your feet’, work independently and with clarity of delivery.
Comfortable with a constantly evolving work environment and high change tempo.
Team player and ability to work with senior leaders.
