About the role:
The Office Administrator is responsible for manning reception, answering and directing general telephone inquiries and directing visitors to the appropriate employees within the organisation. The Office Administrator is to ensure the front-desk is operated professionally, effectively and efficiently by providing and provide support in Office Management and administration as required.
Duties and Responsibilities:
The following aspects of this position are indicative only and in no way limit NSM in allocating additional responsibilities to the employee, within the scope of the employee’s level of competency, experience, knowledge and qualification.
Administration
Provide front-desk reception support including the answering and directing of phone calls and visitors;
Provide administration support to NSM;
Arrange to greet visitors when required and organise meetings and functions;
Produce accurate professionally presented documents, reports, Business Management System (BMS) documents, presentations, and correspondence as required.
Provide travel advice, administration and support within NSM and arrange travel as required;
Maintain Travel spreadsheet;
Management of correspondence system including the receipt, registration, distribution, monitoring and reporting the status of all inwards and outwards correspondence, management and creation of user profiles and access. (Teambinder & Govdex);
Backup for the Executive Assistant when not available, to complete agenda and minutes for meetings;
Management of the company training register;
Manage inductions of new staff including co-ordination of mandatory training, arranging ICT/systems access, uniforms and business cards;
Process all stationery requirements for Project teams and corporate staff;
Catering requirements – when required; and
Maintain NSM uniform register, Memberships register, Photo Register and HSE inductions/cards.
About you:
Essential:
Proven experience providing administrative and business support;
Strong interpersonal and communication skills;
A proactive and flexible approach to work;
Excellent organisational skills; and
Proficient in Microsoft Office suite of computer software packages particularly Word, Outlook, Excel and PowerPoint, Publisher, Visio.
Desirable:
Cert III Office Administration / Business or equivalent experience preferred; and
Experience in providing executive level support including diary management and travel
Essential Compliance Requirements:
Must either hold, or be eligible to obtain an Australian Defence Security Clearance.
